Keeping PBC Responses Traceable
During external audit fieldwork, requests arrive from several auditors on overlapping topics. Without a single intake point, two people may assemble the same sample while a third request sits unanswered.
We recommend a response desk pattern: one owner logs every PBC item, assigns it, records what was sent, and closes the loop when clarifications arrive. The artefacts stay in a retention folder keyed to the request ID.
Traceability also protects the finance team. When a later query asks whether a particular invoice was provided, the log answers in seconds instead of searching email threads.
This discipline does not require exotic tooling. A maintained register plus consistent file naming is enough for most mid-size UK closes.
